Getting Started Guide - AppVentory
This guide outlines the initial setup process, platform navigation structure, and key system behaviors in AppVentory. The guide also explains how page visibility changes based on selected modes and client context.
1. Sign-Up and Account Setup
Step 1: Account Creation
Access the AppVentory sign-up page and select one of the following options:
- Google account
- Email and password
Step 2: Email Verification
- A verification code is sent to the registered email address
- Enter the verification code to proceed
- Access is granted only after successful verification
Step 3: Initial Configuration
Provide the following details:
- Name
- Company Name
- Preferred Currency
| Note: Currency selection is permanent and cannot be changed after configuration. This ensures consistency in financial data and reporting. |
Step 4: Default Mode
After setup completion, the platform loads in Business Mode by default.
- Business Mode supports organizational and operational workflows
- A “Try Practice” option is available to enable Practice Mode

The platform interface includes a structured sidebar with four primary sections:

Dashboard:
The Dashboard under the My Business section provides a centralized overview of real-time metrics, actionable tasks, and survey management tools. It now includes interactive widgets that allow direct actions, such as resolving flagged app or usage issues. A new overlapping feature tracker highlights applications with redundant functions, enabling smarter consolidation and cost decisions.

Apps:
The Apps page provides centralized visibility and control over all software applications connected to the organization. The All Apps tab consolidates every app category into a unified view, streamlining navigation and allowing IT, finance, and procurement teams to manage software inventory, track utilization, and assess costs across departments.

Spend Overview:
The Spend Overview page provides a consolidated view of all application related transactions across the organization. This page supports manual entry, bulk import, and the application of custom rules to streamline spend tracking and categorization.

Renewals:
Renewal Management in AppVentory provides centralized visibility and control over application subscriptions, renewal timelines, and financial commitments across the organization. The module is designed to help track subscriptions, forecast upcoming costs, prevent unexpected renewals, and strengthen governance over the software stack.

Procurement:
Streamlining Software Acquisition and Access Requests. The Procurement feature in AppVentory provides a structured way to manage software access and purchasing across the organization. It connects employees (who need tools) with admins (who approve and manage them), ensuring all requests are visible, consistent, and data-driven.

Organization:
The Organization page provides centarlized control to manage and structure the internal setup of departments and users. It allows seamless configuration of teams, user assignments, and budgeting for each department to ensure operational visibility and accountability.

Survey:
The Survey page provides access to all existing surveys in the system. This includes survey created through both Apps to Survey List and Survey List, enabling centralized management and monitoring of feedback collection tools. Surveys are commonly used to gather customer feedback, internal performance reviews, or follow-up data related to transactions, services, or support cases.

App on Charge:
The App on Charge module in AppVentory allows users to track, manage, and allocate software expenditure across different clients or organizations. This feature provides a centralized view of all spending related to specific applications like Zoom or Slack, ensuring financial transparency and accurate billing.

The Service Overview dashboard provides a high-level summary of your practice's revenue opportunities, client lifecycle, and app stack performance. It is designed to help you identify untapped revenue through app advisory and manage client transitions effectively.

App Stack:
App Stack is a curated bundle of software applications tailored for specific client needs, industries, or service levels. Instead of selecting individual apps for every new client, App Stacks allow you to standardize your service offerings, streamline the onboarding process, and maintain consistent pricing for implementation and support fees.

Key Change:
Reports move from the Business section to the General section in Practice Mode.

This behavior ensures interaction with contextually relevant data and workflows.
3. Switching to Practice Mode "Try Practice"
- Select “Try Practice” to enable Practice Mode
- This action is not reversible within the session
Practice Mode Changes

- General section expands to include Campaigns and Reports
- Reports relocate from Business section to General section
Purpose:
Practice Mode supports analytical and advisory workflows. Reports are repositioned to align with evaluation and supporting tools rather than operational workflows.
4. Select Client – Client-Specific View
The Select Client dropdown enables filtering of platform data to a specific client.

Integrations in the General section are designed to streamline the setup and synchronization of key enterprise systems. Purpose of Restrictions
- Reports
Designed for multi-client advisory output. Restricted to prevent incomplete or misinterpreted single-client data. - Advisory Practice Pages
Built for cross-client analysis. Not applicable in single-client context. - Campaigns, Tasks, Subscriptions
Operate at organizational or multi-client level. Restricted to maintain workflow consistency. - Integrations and Settings
Remain available as configuration-level controls.
Deselecting a Client
- Removing client selection restores:
- Full navigation based on active mode
- Access to all applicable pages
5. Navigation Flow Summary
- Complete sign-up and email verification
- Configure name, company, and currency (non-revertible)
- Land in Business Mode
- Access Business and limited General pages
- Select “Try Practice” to enable Practice Mode
- Access Advisory, Service, and expanded General pages
- Use Select Client to filter by client
- Deselect client to restore full navigation
