Off-boarding: reclaim licences when someone leaves

What you get

Money back from people who have already gone. A leaver still holding four licences costs the same as an employee — and nobody notices, because nobody is looking.

Where it shows up

Under Cost Savings, Off-boarding Leakage lists people who have left and still hold licences: their name, role, departure date, the apps still assigned to them, and the annual saving from reclaiming each.

The data comes from your identity provider. Departures it knows about are departures AppVentory can check.

Steps

1. Open Cost Savings and go to Off-boarding Leakage.
2. Work down by saving, largest first.
3. Remove the seats in each vendor's console.
4. Choose Mark as Reclaimed — this is what moves the amount into Realised Savings.
5. Use Create Task to hand a batch to whoever manages that vendor, or Dismiss if a licence is deliberately retained.

If the screen is empty

That means your identity provider has recorded no departures with licences still attached — not that the feature is off. A new account, or a well-run leaver process, both show nothing here. It fills the first time someone leaves with seats still assigned.

Stopping it recurring

An off-boarding checklist — remove the person from the identity provider, then review and reclaim their vendor licences — closes the leak at source. For an advisor, this can also become a repeatable client review rather than a one-off clean-up.
