Find unused and underused licences

Compare app access with available usage signals and build a licence-review list before you remove or renew seats.

Compare access with usage

Open an app and go to its Users tab. App Users shows the people associated with the application. Usage Activity shows the usage evidence AppVentory has for the period and users covered by the available usage source.

Browser-extension coverage can strengthen this view, but conclusions should reflect how complete the rollout is.

Steps

  1. Go to Apps and sort by twelve-month spend.
  2. Open your largest app → UsersUsage Activity.
  3. Read the Adoption Rate, Average Session Time and the Zero Activity count.
  4. Note the people with no activity, and the ones barely above it.
  5. Check the app's pricing, licence model and owner input before estimating what could actually be saved.
  6. Repeat for your highest-cost applications.

Two ways to act

Review now — confirm with the user or app owner whether a licence is still needed and reclaim it in the vendor's own system where appropriate.

Use it at renewal — take the usage evidence into the renewal conversation and adjust the licence count if the contract allows.

Reading the numbers fairly

No activity is evidence to investigate, not automatic proof that the licence is unnecessary. Consider the coverage period, extension rollout, seasonal use and business-critical edge cases before acting.
