Compare licence holders with available usage signals to find seats that deserve review before you renew or reduce licences.

What you get

A review list of licences that appear inactive or lightly used based on the usage coverage available in AppVentory. This can be one of the most actionable savings workflows, but only when you understand how complete your usage data is.

Steps

  1. Go to Apps and sort by twelve-month spend.
  2. Open your largest app and go to the Users tab.
  3. Compare App Users — who is associated with the app — against the usage activity available for the same period.
  4. Note the users showing no or very little activity.
  5. Check the app's cost, licence model and owner context before estimating what could actually be saved.
  6. Repeat for your highest-cost applications and use the findings to prepare a licence or renewal review.

What you've found

A set of licences that deserve a conversation with the app owner or user before the next commitment. Zero activity is evidence to investigate; it is not, by itself, proof that a licence can be removed safely.

Read usage coverage fairly

Usage conclusions are only as strong as the data available for the users and period you are reviewing. Identity-provider activity and browser-extension activity are different signals, and browser coverage depends on the extension being installed and connected for the relevant users.
