Give important applications a named owner so cost, renewal and optimisation findings have a clear person to act on them.

Before you start

Your app list confirmed, and your people in Organization.

Steps

  1. Go to Apps.
  2. Sort by twelve-month spend, largest first.
  3. Set the App Owner on each row.
  4. Stop when the remaining apps are too small to matter.

Prioritise high-spend and business-critical applications first rather than trying to assign the whole long tail in one session.

Choosing the right owner

Choose the person or team closest to the application's business use and able to make or influence a decision about it. That may be a department lead, system owner, finance stakeholder or IT owner depending on the tool.

What it's worth

App Spend by Owner on your dashboard turns "we spend a lot on software" into a number against a name. That is the version a department head acts on, and it is the difference between a finding and a saving.

An app nobody will own is itself a finding. It is the strongest candidate in your next review.
