Archived spend: what it is and how to bring it back
Understand why a transaction was removed from totals and restore it safely when it should still count.
What you get
Control over what counts. Archiving takes a transaction out of your totals without deleting it — and it is fully reversible.
What ends up in Archived
Two things land in Spend Overview → Archived:
- Transactions you archived yourself.
- Every transaction belonging to an app you deleted.
The second one surprises people. Delete on an app does not only remove the app — it moves its spend history out of your totals. That is right for a duplicate you never really had, and wrong for a tool you stopped using in March, because this year's spend now looks lower than it was.
Good reasons to archive a transaction
- A refund or a reversed charge.
- A one-off that would distort the trend — an implementation fee, a back-payment.
- A payment that is not software, mistakenly matched to an app.
Bringing spend back
- Go to Spend Overview and open Archived.
- Find the transaction and restore it.
- If it belonged to a deleted app, restore the app first from Settings → Deleted Apps, then bring back its spend.
Those are two separate actions. Restoring the app alone leaves it with no cost against it.
The warning worth keeping
Archived spend makes a year look cheaper than it was. If you are about to show a spend trend to a client or a board, check Archived first.
