Archive, restore and delete apps

Tidy the app inventory without accidentally removing history or spend that should still count.

What you get

A cleaner app list while preserving the historical context you still need for spend and reporting.

Four actions, four outcomes

  • Move to Discovered — Back to unconfirmed. Use it when: you confirmed too quickly.
  • Deactivate — Inactive, history kept. Use it when: you have stopped using it.
  • Delete — Removed; its spend moves to archived. Use it when: it was never real.
  • Archive spend — One transaction excluded. Use it when: a payment shouldn't count.

The one that catches people

Delete doesn't only remove the app — it moves the spend behind it out of your totals. Right for a duplicate. Wrong for a tool you stopped using in March, because deleting that one makes this year's spend look lower than it was, and you will present that number to somebody.

Stopped using it? Deactivate. Never had it? Delete. Unsure? Deactivate — it keeps the history.

Steps

  1. Go to Apps and open the app.
  2. Choose Move to Discovered, Deactivate or Delete.

Restoring

  1. Settings → Deleted Apps, and restore.
  2. Spend Overview → Archived, and bring back the transactions that should count.

Two separate actions. Doing only the first leaves an app with no cost against it.

What you've unlocked

You can now tidy records using the action that matches what actually happened to the app, rather than using deletion as a catch-all.
